The Management Analysis/
Organization and Methods Department is a component of the
Corporate Services Division. It currently has a staff
complement of three (3) persons, namely:

Purpose of the Management
Analysis /Organisation and Methods Department
The purpose of the Department
is to assist the university to achieve its mission and strategic
objectives in an effective and efficient manner. This is
achieved through the execution of several programmes, namely:
1. Advisory Services
As an advisory department and
centre of excellence within UTech, it operates as a change
agent proposing, promoting, advocating and representing
Executive Management on new directions for the organization in
keeping with its mission. The department also provides
specialist and technical advice on design and control of
organization structures, continuous organization improvements,
organization development and institutional strengthening.
2. Design and Maintenance of
Organization Structures
This programme involves the
review of roles, objectives and functions, the contribution of
organizational entities, span of management, manpower
utilization, preparation and continuous updating of
organization charts.
Studies and reviews have been
carried out for a number of staff groupings from year 2000 to
present. Some of which are as follows:
a) 2003 - Senior Management
restructuring
b) 2002-2003 - Admin. Support
implementation
c) 2001 - Admin. Support
Grouping Review
d) 2001 - Middle Management
restructuring commenced.
e) 2001 - Technicians,
f) 2000 - Senior Management
Restructuring
A. Methods Study and Work
Measurement
This programme relates to the
critical assessment and measurement of work methods including
processes and procedures for improved efficiency at the
operational level.
B. Job Description,
Evaluation and Classification System
Job description also called
position description details the job title, duties,
qualifications and responsibilities of a job, among other
things, which is required for all employees before the
commencement of the job.
Job descriptions have been
prepared and are maintained for approximately 200 posts along
with the related job evaluation and classification records.
Some job descriptions are now available via the UTech
intranet.
The Evaluation and
Classification System aims at preserving the relative worth of
jobs and ensuring that the levels and salary structure remain
rational. Also, that new jobs which are developed or created
due to the normal growth of the organization are fitted
equitably into the structure.
The Department coordinates
and is the Secretariat for the three (3) Job Evaluation
Committees and the Non-Academic Job Evaluation Steering
Committee.
C. Continuous Organizational
Improvements
This is achieved by setting
of well-defined short and long-term objectives in critical
areas along with the strategies to attain them. The overall
objective of the entire improvement exercise should be to
increase customer satisfaction.
One method of achieving
continuous organizational improvement is Benchmarking.
Benchmarking can be done internally as well as externally.
(i) Internal Benchmarking
This may involve looking
within the university and assessing how well it is meeting
the needs of its customers and formulating further plans for
improvement based on internal comparisons.
(ii) External Benchmarking
It involves assessing the
operations of the University and comparing it with other
similar university/universities with the view of putting
strategies in place to be competitive.
The University of Technology
has now joined the ACU 2004 Benchmarking Programme. The
process has commenced and will require the commitment and
involvement of all areas of the university in order for it to
be a success.
D. Consultancies and
Contracts
Contracts are administered,
from time to time, for several projects and services using
external consultants.
